Haynes Beffel & Wolfeld LLP : Full-time or Reduced Full-time Accounting Assistant

Haynes Beffel & Wolfeld LLP, an intellectual property law firm specializing in patent prosecution, is seeking to hire an experienced full-time (or possibly reduced full-time) Accounting Assistant in Half Moon Bay, California.

Basic Requirements:

Preferred candidates will have experience in small to mid-size law firm using legal billing and have a working knowledge of Timeslips (or similar time and billing software for law firms) and QuickBooks. Basic Excel knowledge necessary; intermediate or advanced Excel knowledge a plus. At least 2 years accounting experience and/or Associate's degree concentrated in accounting is preferred.

Responsibilities:

  • Generate and distribute prebills and process inquiries/changes to finalize accurate invoices.
  • Process Electronic Billing using various client platforms, including generation of LEDES files.
  • Communicate with clients regularly regarding invoices, estimates and payments.
  • Collaborate with staff, attorneys and clients to monitor and secure timely invoice generation and payments.
  • Monitor WIP and A/R, and generate monthly reports.
  • Create and maintain requested attorney and client accounting reports and summaries.
  • Track and record costs to client accounts in billing software.
  • Audit staff time entries weekly to ensure compliance with daily entry.
  • Assist with various account reconciliations, as needed.
  • Know how to perform basic filing and organization of files.
  • Follow internal procedures, be a team player, and complete other accounting tasks as needed.

Experience and Skills:

  • Candidates must possess excellent organization, written and oral communication, and interpersonal skills.
  • Must demonstrate strong attention to detail and high level of competency in basic accounting skills.
  • Candidate must have at least a basic knowledge of Excel.
  • Experience in electronic billing, Timeslips (or similar legal time and billing software) and QuickBooks preferred.
  • Qualified candidates will have at least 1, preferably 2 years of accounting experience (law office experience preferred) and/or hold an Associate's or Bachelor's degree in Business Administration or Accounting.

Haynes Beffel & Wolfeld LLP : Part-Time Receptionist

Haynes Beffel & Wolfeld LLP, an intellectual property law firm specializing in patent prosecution, has a part-time receptionist position available, Monday through Friday from 8:30AM to 2:00PM, with a 30-minute lunch break.

Responsibilities:

  • Greet, welcome and announce clients and visitors to the office.
  • Answering, screening and routing calls (internal and external).
  • Maintain the appearance of the office reception area.
  • Manage firmwide calendar; input appointments, meetings, special occasions, etc.
  • Assist with managing partner’s calendar and email.
  • Prepare conference room schedule, and coordinate all conference room meetings and events as needed. Organize and plan holiday parties, quarterly lunches, meetings, etc.
  • Prepare for shipping and sign for delivery of FedEx and other mail for staff and attorneys; prepare and send U.S. mail; date stamp, organize and distribute all received mail.
  • Order office supplies, track inventory and restock as needed.
  • Maintain a stocked and organized kitchen.
  • Create labels for files, as needed.
  • Sorting and filing, as needed.
  • Perform daily opening duties on a regular basis.

Requirements

  • General office clerical skills (e.g. phones, typing, filing, etc.)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Ability to handle multiple assignments

Physical Requirements

  • Able to maintain a sedentary position for up to 90% of the work day
  • Able to lift up to 30 lbs.
